How do I upload documents securely?

Zenith Financial provides a secure client portal specifically designed for safely uploading and sharing sensitive tax documents. We strongly recommend using the portal for all document transfers rather than email, which is inherently less secure.

To upload documents, log into your client portal using your credentials and two-factor authentication. Navigate to the document upload section, select the appropriate document category (W-2, foreign income, bank statements, etc.), and drag and drop your files or use the file browser to select them. The portal accepts common file formats including PDF, JPG, PNG, and Excel files.

All uploads are encrypted in transit using 256-bit SSL (the same encryption used by banks) and encrypted at rest using AES-256 encryption. Files are scanned for viruses upon upload and stored on infrastructure that meets SOC 2 Type II compliance standards.

You can upload multiple files at once and organize them by category for easy reference. The portal maintains a complete history of all uploads, so you can verify what has been submitted. Your assigned tax professional receives a notification when new documents are uploaded.

Tips for document uploads: scan documents at a resolution of at least 200 DPI for readability, ensure all pages of multi-page documents are included, name files descriptively (e.g., '2024-W2-Employer-Name.pdf'), upload as PDF when possible for consistency, and verify that sensitive information (like Social Security numbers) is legible.

If you are unable to access the portal for any reason, please contact us and we can arrange a secure alternative. We strongly advise against sending documents containing Social Security numbers, account numbers, or other sensitive information via regular email.

All documents remain accessible in your portal throughout our engagement and can be downloaded by you at any time.
